AI receptionist for service businesses: Answers calls, books jobs, hands off to a person

A reference design for an AI receptionist that answers calls for trades and clinics, books into the business's own calendar, and hands the caller to a person whenever it should.

Project Goals

Small service businesses miss calls while they're on a job or with a patient, and a missed call is often a lost booking. Off-the-shelf receptionists exist, but they rarely know the business's own services, prices, service area and booking rules, and they make it hard to reach a human.

The Result

The design pairs a voice agent with tools over the business's own data: services and prices, the service area, open slots in the booking system, and the customer list. It answers common questions, books or reschedules, and sends a text confirmation. It says it's an AI at the start of each call, never quotes prices that aren't published, and transfers to a person on request or when unsure. Outbound calls are made only with consent, in line with US rules for AI voices. It reuses the booking, notification and assistant patterns from our NEMT and SendSlip builds.
